Privacy Policy

Pegasus Realm LLC operates www.pegasusrealm.com, www.adamgrimmcoach.com, app.pegasusrealm.com, pinnacle-wellness-assessment.web.app, www.inkwelljournal.io, and related platforms and applications. By using our services, you consent to the practices described in this policy.

Information We Collect

We may collect the following information from you:

Personal Information: name, email address, phone number, and contact preferences.
User-Generated Content: journal entries, file attachments, feedback messages, or responses to prompts.
Device & Usage Data: IP address, browser type, device type, operating system, referral source, time spent on pages, and site navigation paths.
Cookies and similar technologies for analytics, authentication, and personalization.
Account Information: if you create an account for one of our tools, your email address and a securely hashed password will be stored. We never see or store your password itself.
Assessment Responses: your answers to any assessment or questionnaire you complete, together with the date you completed it. We also record a short attention-check item, which we use only to judge whether a set of answers was given careful attention.
Payment Information: if you purchase something from us, our payment processor collects your card details directly. We receive a confirmation, the amount, and the last four digits of the card. We never receive or store your full card number.

How We Use Your Information

We may use your information to:

Provide and improve our services, including our coaching platforms, assessment tools, and AI-powered tools.
Deliver your assessment results to you.
Prepare for a session you have booked with us.
Process payments and keep the records we are required to keep.
Send transactional or service-related emails, for example results and confirmations.
Offer optional newsletter subscriptions.
Generate journaling prompts or personalized content using large language models.
Securely store your data in Firestore (Google Firebase) and associated Google Cloud services.

We do not sell your information. We do not share it with advertisers. We do not use your individual answers to target advertising to you.

Scheduling

If you book a session with us, we use TidyCal to manage the booking. The details you provide when booking are held under TidyCal's own privacy policy.

Payments

We use Stripe to process payments. When you pay us, your card details go directly to Stripe and are handled under Stripe's own privacy policy and security standards. Pegasus Realm never receives your full card number and never stores it.

What we do keep is the record of the transaction itself: what you bought, the amount, the date, and the last four digits of the card. We keep these records for seven years, because tax rules require it. This is the one category of information we cannot delete on request while that period is running.

Assessments and Your Answers

Who sees your answers. Adam Grimm sees them. Nobody else does. Your answers are not sold, not shared, and not used for advertising.

This is a wellness tool, not a clinical assessment. A result is information about how you described your own experience on the day you answered. It is not used for diagnosis, it is not medical or mental health advice, and it is not a substitute for care from a licensed professional.

Helping us improve the tool. We look at combined, de-identified answers across everyone who uses an assessment so we can check whether the tool is working and make it better. This is internal product work. It is not academic research, and your answers are never published or shared outside Pegasus Realm. Your individual answers are never shown to anyone with your name attached. If you would rather not be included, email support@pegasusrealm.com and we will exclude you going forward and remove you from the combined set.

Deleting your data. Email support@pegasusrealm.com at any time. We will confirm and complete deletion within 7 days. Deletion removes your email address and your answers. Two things survive it, and we want to be plain about both: any combined statistics we have already calculated, because they contain no individual answers and no way to identify anyone; and payment records we are required to keep for tax purposes, described above.

Neurofeedback and EEG Data

If you take part in neurofeedback training with us, we record your brain activity (EEG) during your sessions using a BrainBit headset.

Where it is stored. Your recordings are captured and stored on the Divergence Platform, run by Divergence Neuro, a third-party company. Their copy of your data is held under their own privacy policy, not ours, and we encourage you to read it. We export reports from that platform so we can interpret your results and talk them through with you. Those exported reports are the copy we hold.

Who sees it. Adam Grimm sees your data with your name attached. Nobody else does.

Separately, a licensed clinical psychologist he trains with reviews de-identified reports as part of that training relationship. De-identified means your name is not attached and the reports are read for patterns rather than for any individual person. Your data is not sold, not shared, and not used for advertising.

What it is and is not. Neurofeedback with us is wellness and regulation training. Your EEG data describes patterns of brain activity during a session. It is not used to diagnose anything, it is not medical or mental health advice, and it is not a substitute for care from a licensed professional.

Deleting it. Email support@pegasusrealm.com and we will delete our exported reports within 7 days. We want to be plain about the limit of that: we can delete our copy, and only our copy. The recordings held on the Divergence Platform are controlled by Divergence Neuro, and a request to remove those goes to them under their policy. We will point you to the right place to ask.

Use of AI Services

Some of our tools use third-party AI providers, including OpenAI and Google Vertex AI, to generate prompts and written content. We do not intentionally transmit personally identifying information to these providers as part of a prompt.

Anything an AI tool produces is general guidance and reflection material. It is not medical, psychological, or professional advice, and it is not a substitute for care from a licensed professional.

Data Storage and Security

Your data is stored using Google Firebase services. We use industry-standard protections to keep it secure. No system can be guaranteed completely secure, and we cannot promise absolute security, but we take reasonable steps to protect what you give us.

Third-Party Services

We may share your information with the following third-party processors:

ActiveCampaign for newsletter management and automated messages.
SendGrid for delivering your assessment results and other transactional email.
Stripe for payment processing.
Divergence Neuro for capturing and storing neurofeedback (EEG) session data.
TidyCal for scheduling.
Google Firebase for hosting, authentication, database, and file storage.
Google reCAPTCHA to protect our forms from automated abuse.
OpenAI and Google Vertex AI for generating writing prompts and content.

Each third party has its own privacy policy, which we encourage you to review.

Cookies & Tracking Technologies

We use cookies and similar technologies for three things: to keep you signed in, to remember your preferences, and to understand how people use our site so we can improve it. You can accept or decline non-essential cookies using the banner on our site, and you can clear or block cookies in your browser at any time. Cookies that are strictly necessary to sign you in and keep your session secure cannot be turned off, because the site will not work without them.

Children's Privacy

Our services are intended for users aged 18 and over, or for minors with the consent and involvement of a parent or guardian. We do not knowingly collect information from children under 13. If you believe a child has provided us with personal information, contact us at support@pegasusrealm.com and we will remove it.

Your Rights and How Long We Keep Things

You may:

Request to view, correct, or delete your data.
Opt out of newsletters at any time using the unsubscribe link in any email.
Ask to be excluded from the combined data we use to improve our tools.
Contact us at support@pegasusrealm.com for any data-related request. We respond within 7 days.

How long we keep things:

If you are contacting us from outside the United States, tell us where you are writing from and we will handle your request under the rules that apply to you.

Updates to This Policy

We may update this policy from time to time. Changes take effect when the updated policy is posted. If a change is significant, we will notify you by email or by a notice on our website.
